Welmu International Oy collects information on you that you have sent us on our website and by the forms we have emailed you, in addition to cookies. We do not collect your data without your consent. Registrants may give us the following personal information, but we do not necessarily have all of the below information on registrants:

  • Work responsibilities
  • Company/organization
  • Billing information and address
  • Location
  • IP address
  • Company ID
  • Other information that the user has entered on forms on Welmu International Oy’s website or sent to the company through social media channels or email.

By using the website, entering your information in the field that allows it and by sending the data to us, you accept this privacy policy and authorize Welmu International Oy to process the information you sent.

According to the Information Society Code (section 202), companies are allowed to send digital direct marketing without consent. However, we will remove you from our register if you notify our Data Security Representative that you do not want to receive digital direct marketing content.

 

How do we process your information:

We process your data confidentially. Only individuals authorized by Welmu International Oy that need the information for their work have access to your data. These individuals include Welmu International Oy employees and potential subcontractors that provide services for Welmu International Oy. Everyone who has access to the data is subject to the confidentiality and they are required to comply with Welmu International Oy’s privacy policy practices.

Your information may be processed automatically and be transferred between the Active Campaign service used by Welmu International Oy and HubSpot based on the information we have received from you and the functions you execute on our website.

In some instances, Welmu International Oy may implement campaigns in cooperation with its partners. The data collected in such instances may be transferred to the registers of these companies. When implementing these campaigns, the logos of Welmu International Oy and our partners are on the contact information sharing page.

 

What rights do you have:

  5. Limit how your data is processed and prevent the automatic processing of your data

You can execute your rights by contacting the Welmu International Oy Data Security Representative or by unsubscribing to our newsletter, which can be done using the link at the end of every newsletter you receive from us. Here, you can also update information that you have entered using our Active Campaign forms.

If you want us to completely delete your information from our register, you should notify Welmu International Oy’s Data Security Representative.

If you have forgotten the password of your email or you want to know what information we have (beyond Active Campaign), you can access this information and edit them by confirming your identity to Welmu International Oy’s Data Security Representative using a photo-ID. Welmu International Oy will delete the digitally received photo-ID as soon as the identity of the registrant has been confirmed.

Purpose of handling personal data

Personal data is used to develop Welmu International Oy’s website, communication, marketing, handling the customer relationship, invoicing, offering services and developing business activities.

Register data content and information processing

By entering personal information into forms on Welmu International Oy’s website and newsletters, or when otherwise providing information to Welmu International Oy, the individual authorizes the use of his/her information in accordance with this privacy policy.

By completing a form on Welmu International Oy’s website or by entering data into to another field that makes this possible, you give us the right to process the information you provided or contact you in the capacity defined by the form or other field you completed. Similarly, when you enter your information into the Subscribe field of our newsletter, you will receive a confirmation email from us on the subscription. By clicking the Confirm link in the confirmation email, you authorize us to send you our newsletter. Therefore, we will not send you our newsletter without your separate authorization. In addition, we may collect the email addresses of companies and their personnel from company websites where the email addresses are publicly available.

In addition to our newsletter, we may send targeted advertising campaigns to the individuals in our register.

We may implement targeted marketing campaigns or events where registration is completed by, for example, providing an email address. In such instances, we may not use the two-step confirmation process (described above) with email registrations. In such instances, the personal information entry page is only sent to targeted audiences and the page is deleted after the event has been held. This allows us to minimize the risk of unsuccessful (unconfirmed) registrations and adding the wrong personal data to our register.

Website visitors and registrants who complete a form or another field that allows data to be entered on Welmu International Oy’s website and the platforms it uses (e.g. Typeform survey form) or newsletter maintain the intellectual property rights of the produced content. The user of the website or registrant is responsible for ensuring that he/she is the owner of the intellectual property he or she sends to Welmu International Oy. Welmu International Oy has the right to use and present this content for developing, producing or introducing its service and for marketing.

Data recorded in Welmu International Oy’s register is transferred automatically from the Active Campaign application intended for the company’s email marketing activities to the HubSpot application through Zapier integration if the registrant’s Active Campaign profile fulfills specific requirements. Fulfilling the requirements is determined by the information provided to Welmu International Oy and the activities of the registrant on Welmu International Oy’s website.

When providing personal data to Welmu International Oy or when completing a form on Welmu International Oy’s website or newsletter, the provider of the information commits to providing accurate information to Welmu International Oy and ensures that he or she has the right to provide them.

Welmu International Oy reserves the right to delete personal data from the register that no longer serve their intended purpose according to the company’s view.

When our service providers’ servers are located in the United States, we ensure that the service provider is committed to adhering to GDPR and EU data protection principles and, if possible, is Privacy Shield certified.

The digital customer and marketing register is password-protected and access to the register is restricted to only individuals specifically authorized by Welmu International Oy. All individuals that have access to the register are bound by confidentiality.

Rights of the user

In accordance with GDPR, you have the right to be forgotten, i.e. your data deleted from the register and the use of your data restricted.  In addition to these rights, you have the right to verify what data we have collected on you within the scope of the law. Within the scope of the law, you also have the right to transfer your data to another register. Within the scope of the law, you have the right to require that incorrect, unnecessary, deficient or outdated personal data is corrected or deleted. Within the scope of the law, you have the right to obtain information on how your personal data is processed and are able to submit a complaint to the supervisory authority and you are able to prevent the automatic processing of your data. You can exercise these rights by unsubscribing to our newsletter in the manner discussed below or by contacting the Welmu International Oy Data Security Representative.

Every direct communication we send has a link that the recipient can use to unsubscribe from the mailing list and prevent direct mailings in the future whether it be our newsletter or a separate marketing or communication campaign. You can also prevent Welmu International Oy from processing any of your information for direct marketing and request that your data is deleted from the register by sending an email to our Data Security Representative (contact information is located at the end of this privacy policy).

When the registrant makes a request to our Data Security Representative, the registrant is to notify the representative of the register’s applications he or she wishes the data to be removed from (potentially from all).

Welmu International Oy will only store the personal data for the time that it is necessary for their intended purpose or until the registrant requests Welmu International Oy to delete or update the data. The registrant may submit such a request by contacting Welmu International Oy’s Data Security Representative (contact information is at the end of this privacy policy) or in the case of a newsletter the registrant can delete his or her data from the register using the link at the end of the email.

Once the request for deletion has been received, we will delete the registrant’s information from our register right away or depending on the situation, the registrant may also be able to delete them on their own. Either way, the registrant’s data is deleted from the register no later than four weeks after the request was submitted.

We reserve the right to revise this privacy policy. Therefore, users of the website should re-read it periodically.

Reasons for collecting and processing data
